AEC Property Tax Solutions is a national property tax advisory firm providing assessment and tax management services as well as implementing tax minimization strategies for owners and occupiers of commercial, industrial and multi-residential real property. We are currently seeking an Administrative Assistant based in Calgary, Alberta.
The Administrative Assistant will be responsible for the following:
- maintain up-to-date billing system, follow up, collection and allocation of payments
- carry out billing, collection and reporting activities according to specific deadlines
- monitoring customer account details for non payments, delayed payments and other irregularities, maintain accounts receivable customer files
- follow established procedures for processing receipts, cash etc
- investigate and resolve customer queries
- process adjustments
- organizing a recovery system and initiate collection efforts
- communicating with customers via phone, email, mail or personally preparing correspondence,
- arranging conference calls, and scheduling meetings
- receive and direct visitors and clients
- general clerical duties including photocopying, email and mailing
- maintain electronic filing system
- retrieve documents from filing system
- handle requests for information and data
- resolve administrative problems and inquiries
- prepare written responses to routine enquiries
- prepare and modify documents including correspondence, reports, drafts, memos and emails
- schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
- prepare agendas for meetings and prepare schedules

Qualifications and Experience:
- Three to five years of administrative support experience
- Previous experience in the real estate /realty tax and assessment industry would be considered an asset
- Demonstrated experience in being proactive with proven ability to meet deadlines
- Ability to follow through and a proven track record of organizing and systematizing dynamic and often complex work environments is crucial to the success of this role
Selected candidates will be required to complete formal testing as it relates to strength analysis as part of AEC's interview and selection process.
